Administration Manager -Lebanon- $2500-$3000+insurance +Bonus (based on performance)

    JOB OVERVIEW

    Responsibilities:
    The responsibilities of the Administration Manager include Administration of all firm offices, Finance, Human Resources, Communication/Marketing, Facilities and IT. The Administration Manager reports directly to the Managing Partner.

    The duties shall include but are not limited to:

    A. ADMINISTRATION
    1. Upkeep and maintenance of the firm’s physical facilities and recommending refurbishment, new furniture and fixtures purchases. Assist in short and long term range space/facility planning and build-out of new space. Maintains asset register and inventory of all offices’ equipment and furniture.
    2. Supervises all support staff and other functions.
    3. Handles all purchases, legal resources, printing, stationery and office supplies.
    4. Handles renewal of firm’s licenses, insurance (all types), visas, relevant Bar dues, records and any governmental reporting requirements.
    5. Oversees document management, file management and all records of the firm.
    6. Handles client in-take including KYC and engagement letters.

    B. FINANCE
    1. Oversees all accounting functions of the firm. Works with the Managing Partner in the preparation of the annual budget for the firm. Handles billings, invoicing, expenses, accounts receivables and payables internally and externally.
    2. Overseas the processing of payroll and management of firm bank accounts.
    3. Maintains and holds petty cash account.
    4. Works with the firm’s accountant to prepare all accounting reports, P&Ls, balance sheets, etc.

    C. HUMAN RESOURCES
    1. Maintains all HR records and personnel files.
    2. Recruits, orients, trains and supervises all trainees, attorneys and support staff, ensuring adequate training and on-boarding.
    3. Administers and handles staff evaluations. Counsels, disciplines and terminates staff with the advice and consent of the Managing Partner. Counsels and liaises with trainees and lawyers on any HR, employment or personnel issue.
    4. Prepares the Policies and Procedures manual with special emphasis on local and governmental laws, i.e. maternity and health and safety.
    5. Conducts periodic salary and billing rate surveys to ensure firm’s scale are in synch with the market and recommends salary or billing rates increase.
    6. Handles all staff, trainees and lawyers’ benefits with the advice and consent of the Managing Partner. Recommends changes to and enhancements in the firm’s benefits package.

    D. IT
    1. Oversees IT issues and liaises with the firm’s IT on operations, functioning, maintenance and upgrades.

    E. COMMUNICATION/MARKETING
    1. Handles all firm’s communication including social media, newsletters, announcements, etc.
    2. Handles the coordination and planning of special programs such as client receptions, hospitality packages and other marketing functions as well as firm functions.
    3. Handles all issues relating to the firm’s website and branding including updates, changes, upgrades, etc.

    F. OTHER
    1. Assists in all other ad hoc projects and administrative requests as requested by the Managing Partner or any other partner.
